Who we are
This website is operated by Theta Cloud Consulting, a trading name of Theta Consulting Services Ltd, a company registered in England & Wales ("we", "us"). We are the data controller for personal data collected through this website. You can contact us about anything in this policy at hello@thetacloudconsulting.com.
What we collect and why
Contact and enquiry data. When you submit our contact form or email us, we collect your name, email address, company name (if given) and the content of your message. We use this to respond to your enquiry, scope and deliver services, and maintain our business records. Our lawful bases under UK GDPR are legitimate interests (responding to enquiries about our services) and, where we go on to work together, performance of a contract.
Correspondence and scheduling. If we arrange a call, we may process your details through our scheduling and video-conferencing providers (such as Calendly and Google Meet) to set up and hold the meeting.
What we don't do. We do not sell or share personal data for advertising, run third-party advertising or tracking cookies on this site, or use your data for automated decision-making or profiling.
Who processes your data on our behalf
Form submissions are delivered to us by Web3Forms (our form-processing provider) and arrive in our business mailbox hosted by our email provider. This website is hosted on Netlify, which processes standard server logs (such as IP addresses) to serve and secure the site. These providers act as processors under our instructions; some are located in the United States, and transfers are safeguarded by recognised mechanisms such as the UK Extension to the EU-US Data Privacy Framework or standard contractual clauses.
How long we keep it
Enquiry data is kept for up to 24 months after our last contact, unless we enter into a business relationship, in which case records are kept for the duration of that relationship and up to 6 years afterwards to meet legal, accounting and contractual obligations. You can ask us to delete your enquiry data sooner at any time.
Your rights — UK, EU and elsewhere
If you are in the UK or EU, you have the right to access the personal data we hold about you, have it corrected or erased, restrict or object to our processing of it, receive it in a portable format, and withdraw consent where processing is based on consent. To exercise any of these, email us at the address above. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk) or your local supervisory authority, though we'd appreciate the chance to resolve any concern directly first.
Your rights — United States
If you are a resident of a US state with a comprehensive privacy law (including California, Colorado, Connecticut, Texas, Virginia and others), you may have rights to know what personal information we hold about you, access or delete it, correct inaccuracies, and opt out of the sale or sharing of personal information and of targeted advertising. We do not sell your personal information, share it for cross-context behavioural advertising, or use it for targeted advertising — so there is nothing to opt out of — but you may exercise your access, correction and deletion rights at any time by emailing us. We will not discriminate against you for exercising any privacy right.
Cookies
This site does not set advertising or analytics tracking cookies. Fonts are loaded from Google Fonts, and our hosting provider may set strictly necessary items required to serve the site securely.
Security
The site is served over HTTPS, and access to enquiry data is limited to the people who need it to respond to you. No method of transmission or storage is completely secure, but we take reasonable technical and organisational measures appropriate to the data we handle.
Children
Our services are for businesses and working professionals. This site is not directed at children and we do not knowingly collect personal data from anyone under 18.
Changes to this policy
If we change how we handle personal data, we will update this page and revise the date at the top. Significant changes will be flagged clearly on this page.
